1. Acceptance of Terms

By creating an account or using PolicyDash, you agree to these Terms of Service. If you do not agree, please do not use the platform. PolicyDash is operated from Rohtak, Haryana, India.

2. What PolicyDash Does

PolicyDash is a digital policy management tool for insurance advisors. It allows you to upload insurance policy PDFs, extract details using AI, track renewals and payments, store client documents, manage tasks, and generate reports. PolicyDash is a record-keeping and productivity tool — it is not an insurance company, broker, or financial advisor.

3. Who Can Use PolicyDash

•You must be at least 18 years old.
•You must be an insurance professional (agent, advisor, PoSP, agency owner, or similar).
•You must provide accurate information during signup.
•You are responsible for keeping your login credentials and task PINs secure.
•One account per person. Do not share your account with others.

4. Your Data & Responsibilities

•Your Data Belongs to You: All policies, documents, client information, and tasks you upload or enter remain your property. PolicyDash does not claim ownership of your data.
•Accuracy: You are responsible for verifying all AI-extracted information. AI can make mistakes — always review extracted details before relying on them.
•Client Consent: You are responsible for having appropriate consent from your clients before uploading their personal documents (PAN, Aadhaar, policy details) to PolicyDash.
•Lawful Use: You must use PolicyDash only for legitimate insurance business purposes. Do not upload illegal, fraudulent, or harmful content.
•No Sensitive Misuse: Do not use PolicyDash to discriminate against clients, share client data without consent, or violate any insurance regulations.

5. AI-Powered Extraction

•PolicyDash uses AI (Anthropic Claude API) to extract details from your uploaded PDFs.
•AI extraction is automated and may contain errors. Always verify extracted data before making business decisions.
•PolicyDash is not liable for any losses arising from incorrect AI extractions.
•Uploaded PDFs are sent to the AI provider for processing. The AI provider does not store your documents after processing.

6. Service Availability

•We aim to keep PolicyDash available 24/7 but do not guarantee uninterrupted access.
•We may perform maintenance, updates, or improvements that temporarily affect availability.
•We rely on third-party services (Supabase, Vercel, Anthropic) and are not responsible for their outages.
•We reserve the right to modify, suspend, or discontinue any feature with reasonable notice.

7. Usage Limits

To ensure fair usage and platform stability:
•PDF uploads are limited to 10MB per file.
•AI extractions are limited to 15 per day per account.
•The free trial (without signup) is limited to 2 extractions per device.
•Feedback submissions are limited to 5 per hour.
•We may adjust these limits as the platform grows.

8. Prohibited Activities

You agree not to:
•Attempt to access other users' data or accounts.
•Upload malware, viruses, or harmful files.
•Use automated bots or scripts to access PolicyDash.
•Reverse engineer, copy, or redistribute any part of PolicyDash.
•Use PolicyDash for any purpose other than insurance policy management.
•Deliberately overload the system or abuse API limits.

9. Account Termination

•By You: You can request account deletion at any time by contacting us at contact@policydash.in. All your data will be permanently deleted within 30 days.
•By Us: We may suspend or terminate accounts that violate these terms, engage in prohibited activities, or remain inactive for more than 12 months. We will attempt to notify you before termination where possible.

10. Payments & Refunds

PolicyDash is currently free during the beta period. When paid plans are introduced:
•Pricing and payment terms will be clearly communicated before any charges.
•Payments will be processed through Razorpay (a PCI-DSS compliant payment gateway).
•Refund policies will be published separately before paid plans launch.
•We will give existing users reasonable notice before transitioning from free to paid.

11. Limitation of Liability

•PolicyDash is provided "as is" without warranties of any kind.
•We are not liable for any direct, indirect, or consequential damages arising from your use of the platform.
•We are not liable for data loss due to circumstances beyond our control (server failures, cyberattacks, natural disasters).
•Our total liability, if any, shall not exceed the amount you paid to PolicyDash in the 12 months preceding the claim.
•You agree to maintain your own backups of critical business data.

12. Intellectual Property

•The PolicyDash name, logo, design, and codebase are the intellectual property of PolicyDash.
•You may not copy, modify, or distribute any part of the PolicyDash platform.
•Your uploaded data and documents remain your intellectual property.

13. Changes to These Terms

We may update these terms from time to time. Significant changes will be communicated through the app or via email. Continued use of PolicyDash after changes constitutes acceptance of the updated terms.

14. Governing Law & Disputes

These terms are governed by the laws of India. Any disputes arising from the use of PolicyDash shall be subject to the exclusive jurisdiction of the courts in Rohtak, Haryana. Before filing any legal claim, both parties agree to attempt resolution through email communication within 30 days.
